The President is responsible for running all CHSC general and executive council meetings, delegating responsibilities to officers, and overseeing CHSC programs. He/she also appoints temporary council positions and co-signs funding requests. The President meets weekly with the Honors Advisor to keep up with the different aspects of council, and meets with each of the officers individually as needed. If a particular officer has too much work or a new responsibility arises, the President delegates the work or does it him/herself. In the long term, the President evaluates the council's activities and sets goals for improvement.

The bulk of the President's work is communicating with all officers and other CHP entities (CHP office, RAs/HAs, PAAs, Peer Mentor Coordinators). He/she must know exactly what each officer is doing. The President works with all officers to ensure programs are being planned well and officers are communicating with each other. He/she may be involved in brainstorming ideas, discussing timelines, booking rooms, ensuring every aspect of a program is considered, and suggesting areas to improve in the future.

  1. Serves as chief executive officer of the CHSC. Chairs CHSC during general meetings. Determines the agenda for general meetings.
  2. Has co-signature authorization over all budgetary expenditures and contracts with ASUCI and other bodies.
  3. Appoints, with a concurrent, simple majority of the voting members of the Council present any temporary positions he/she feels necessary.
  4. Coordinates office management and operations with CHP.
  5. Serves as student representative for CHSC.
  6. Assigns new activities to a division.
  7. At the end of each year, the President coordinates a compilation of the records of what was accomplished that year and places them in the CHSC records binder.*Will be a Secretary duty next year

The role of the Vice President is to provide support in any way necessary to the President. There only specific duty outlined in the Constitution is to uphold the Constitution, so any additional responsibilities of the VP are up the discretion of the President. Traditionally, the VP plans the CHSC cookie booth at Wayzgoose, creates the agenda for each CHSC meeting, and runs voting during elections and approval of funding requests. The VP is expected to attend all meetings associated with CHSC, including the bimonthly council meetings, weekly meetings with the Honors Advisor and social chairs, and any other meetings that might take place. The VP can also co-sign funding requests. In the absence of the President, the VP assumes the responsibilities and powers of the President.

  1. Acts as an ambassador to other clubs at UCI.
  2. Serves as chief executive officer of the CHSC in the President's absence.
  3. Timekeeper during general meetings ensuring that the agenda is followed and that meetings start and end on time.
  4. Supervises voting privileges and membership status.
  5. Assures constitutionality of the Council's acts.

The position of secretary includes taking minutes at meetings, editing the minutes and sending them to the webmaster and the advisor (Ryan), taking roll at all CHSC meetings and keeping track of attendance, and composing the ballots for elections.

  1. Records, keeps, and maintains minutes for all official CHSC meetings.
  2. Reviews the minutes of the prior meeting at the beginning of each CHSC meeting upon request.
  3. Keeps a log of attendance for all meetings.
  4. Assists the Webmaster concerning CHSC minutes.
  5. Handles inventory of supplies
  6. Organizes ATS

The Treasurer has co-signature authorization over all budgetary expenditures and contracts with ASUCI and other bodies. He/She makes deposits for the CHSC in the Council's account, maintains ledgers accurately, maintains copies of approved funding proposals, ensures reimbursements are made in a timely fashion, distributes quarterly and end of the year reports, and maintains the contractual obligations that the CHSC has with ATS (Academic Talent Search) by finding volunteers to do registration and check in at on campus and off campus testing sessions. Organization and reliability are a must. Many of the responsibilities of the position are time sensitive, so the Treasurer must also be on top of things.

  1. Has co-signature authorization over all budgetary expenditures and contracts with ASUCI and other bodies.
  2. Makes deposits for the CHSC in the Council's account.
  3. Maintains ledgers accurately.
  4. Delivers biweekly reports to the Council.
  5. Maintains copies of approved funding proposals.
  6. Distributes an end of the year report.
  7. Maintains the contractual obligations that the CHSC has with ATS (Academic Talent Search) by finding volunteers to do registration and check in at on campus and off campus testing sessions.
  8. Organizes fundraisers throughout the year, such as Penny Drive, TV Tapings, and Ink Cartridge Recycling.

Social Chairs

The Social Chairs are responsible for planning all major CHSC social events, including Battle of the Brains, Semiformal, Broomball, and the Banquet. The Social Chairs also typically plan smaller events throughout the year when they have ideas. In addition, the Social Chairs often help other CHSC officers and members plan events, such as the Halloween Dance and Freshmen Football Game. The Social Chairs are expected to meet with the President and Vice President at least every other week, and with the Honors Advisor as needed.

  1. Head a social committee, which assists them in making decisions about their events.
  2. Plan all small-scale social events, ex. Broomball, and Faculty Events.
  3. Plans the large-scale social events, ex CHP Semi-Formal , Battle of the Brains , and the CHP Banquet.
  4. Must publicize each of these events and notify the Communications Chair of them so that they can be included in the calendar.
  5. They have co-signature authorization over all budgetary expenditures and contracts with ASUCI and other bodies.

Recruitment & Retention

The Recruitment and Retention Co-Chairs are primarily responsible for the weekly coffee hour in the Locus. This includes finding volunteers to help set-up, clean-up, and bring the various foods and drinks each week. The Co-Chairs are also responsible for helping run Prospective Freshman Outreach (ProFro) each year and should be active in other outreach events such as Honors Experience Day.

In addition, there are more abstract responsibilities to Recruitment and Retention as the title implies. Candidates should be active in the CHP so that they can get to know the students well, especially in the freshman communities. Part of maintaining membership of the Campuswide Honors Program is having an organization which is attractive to its members. As Recruitment and Retention Chair, one should also do as much as they can to provide for its members wants and needs. This may include but is not limited to:
  • Giving suggestions to existing structure and programs
  • Serving on planning committees for large events
  • Volunteering to help for fundraising and community service events
  • Being available to freshman as an upperclassman
  • Providing puzzles, activities, or conversation starters for coffee hour
  • Helping set-up and clean-up spontaneous events
  • Generally promoting the CHP as an academic and social network

  1. The two Recruitment and Retention chairs are in charge of the CHP Coffee Hour every Friday from 9 to 11am in the Locus and coordinate buying supplies for this event.
  2. Assists the administration of the CHP where necessary with the planning of PRO-FRO.

The Community Service Representative plans all community service events, with the goal of 2 or more events per quarter. Traditional programs include, but are not limited to: gleaning, Texas Feed 'Em, and helping at a soup kitchen. New events for this year include arts and crafts at University High, the Baghdad School Project, making greeting cards for veterans in the Long Beach VA Hospital, and United We Paint. In addition to planning the events, the Community Service Chair is responsible for making sure these events get publicized to CHP members through posters and blurbs in CHP news.

  1. Plans all community service events.
  2. Must publicize each of these events and notify the Communications Chair of them so that they can be included on the calendar.
  3. Networks with other campus clubs to co-sponsor events.

The Communications Chair position is still being defined. As the first Comm Chair, I've had the opportunity figure out how best to implement intra-council communication. It's a great position for you, if you're looking for a chance to help shape the future of CHSC. Some of the responsibilities include keeping everyone on council up to date on events that are being planned by the council and by all of the housing complexes. A good way to do so is using UCI mail lists. Other important responsibilities include planning a few events that require a lot of communication, such as the Wayzgoose cookie booth and the Freshman vs. Upperclassmen football game. Communications Chair is a great position for someone looking to get involved, and desiring to help shape the future of the council.

  1. Helps Social Chairs and Recruitment and Retention Chairs coordinate social events that demand the assistance of Housing staff. Examples of such events include Wayzgoose, Stay Over Activities, and the Upperclassmen/Lowerclassmen football game.
  2. Facilitates communication between HAs, Ras, and CHSC. Specifically, at the beginning of each academic year the newly elected Communications Chair will create a list-serve and ask all HAs, RAs, PAAs, Peer Mentor Coordinators, at least one honors advisor, and the CHSC President to be a part of it. The Communications Chair will then use this list serve to keep HAs, RAs, PAAs, Peer Mentors Coordinators, the CHSC President, and the Honors staff informed of all upcoming events.
  3. The Communications Chair will assist the Social Chairs when programming between CHSC and AV, Mesa Court, or Middle Earth is involved.
  4. Keeps members up to date with all general club announcements and activities by publishing a calendar of events and posting it on the CHSC website.
  5. Stays updated on ALL activities occurring in housing communities (Middle Earth, Mesa Court, Arroyo Vista, Campus Village, Vista Del Campo, etc)
 

Appointed Positions

The Webmaster is responsible for updating the website at regular intervals (at the very least every two weeks, particularly after each CHSC meeting). Minutes of each CHSC meeting, sent by the Secretary, will be posted by the webmaster as well as pictures of events and activities from the Historian. The President, Vice-President, and Advisor will send the webmaster the majority of update requests with other officers making their own suggestions/additions. The webmaster also has full creative control over the aesthetic look and organization of website content. He/she should offer suggestions for improvement in both functionality and presentation of the site.

Basic HTML & Photoshop (or equivalent graphics program) experience preferred, as well as commitment to keeping the website updated. Knowledge of other programming languages also encouraged.

As Historian, I am responsible for going to as many CHP events as possible and taking photos. I will then submit these photos to the webmaster, who puts them on the CHSC website. I also serve as the events photographer for the CHP yearbook and submit photos for the slideshow. You will mostly interact with the webmaster, but you are also responsible for giving the photos to Ryan, the editor of the yearbook, and the person in charge of the slideshow. Though going to events and submitting photos can be time-consuming, this position is not demanding and does not hold much responsibility. This is a great position for anyone who wants to become more involved in the CHP but does not want the added pressure of the elected positions.

This position requires you to let CHP students know what is going on in CHP, the social events, meetings, contests, etc. The job may seem easy enough, but it's an important one! Basically, other members of CHSC will let you know of an event ahead of time (they should give at least a week's notice in advance), and you will be required to make six posters of the event for the CHP houses (four in Arroyo Vista, one each in the Shire and Loma), and a flyer in the Locus. The position lets you be creative and gives you the opportunity to express yourself, especially for those who like to draw and work with paint markers. You also get to find out about the events before other students, and see how the planning process works in CHSC, and get to know other officers and attend fun outings. You can also use tools such as Facebook to get your message across –whatever means possible to encourage CHP students to attend. You can add your input in what kinds of activities you think students will want to do, and it's a great opportunity to become involved in the student council and find other areas of interest. You can even create your own publicity committee, and work with other students. Living in AV will also be helpful, since you will spend some time in the poster room!

As the head of yearbook, I oversee almost every aspect of its creation, from layout designs to budget. I design almost all the page layouts for the yearbook, micromanage all the tasks, and send notices out to people. However, the difficulty of my job is greatly reduced because I have an incredible team of experts, each very dedicated to their tasks. The yearbook really is a team effort. For example, I may design the layouts, but it's my layout editors who make my visions come true. It's definitely a collaborative effort when it comes time to make the big decisions concerning yearbook. As a team, we hope to revamp the yearbook and produce something every CHPer would want to have.

As Commuter Representative, you serve as a liaison between the commuters and the CHSC Executive Council. You plan welcome week activities for the freshmen commuters, as well as various other activities throughout the year (NART Day, community service, etc). You keep in touch with most of the CHSC exec members, planning events with the President and Vice President, contacting RA/HAs to plan dorm-related events, and working in conjunction with the social chairs.

The CV Representative is responsible for managing the Campus Village listserv and assisting those who wish to organize Campus Village events for the CHP. He is also responsible for creating a directory of residents with their contact information and for representing the residents' interests at CHSC meetings.
